Qwickly Attendance

Qwickly Attendance is a tool that can be accessed by instructors and students to view or submit attendance records. The tool can be used to calculate attendance points, which can be set to sync automatically with Grade Center in Blackboard. It can also send automatic email to notify students when they are marked absent. For more information, please visit the Qwickly Attendance documentation page.


Add a link to Qwickly Attendance in a Blackboard course

Instructors can add a Qwickly Attendance navigation button in their Blackboard course:

  1. Ensure Edit Mode is ON.
  2. Put your cursor on the Add Menu Item button above the navigation buttons in your course and select Tool Link

  1. Enter a name for the link, select Qwickly Attendance from the Type drop-down list. If you want students to be able to access the link, place a check in Available to Users, then click Submit


Set up Qwickly Attendance for a Blackboard course

  1. Open the Qwickly Attendance link from your Blackboard course.
  2. Click on Setting page. If this is your first time accessing Qwickly for this course, click Begin Set-Up and you will be directed to the Settings page.
  3. If your Blackboard course has groups set up or other course sections merged into a parent course, you will have the option to choose how students are organized in Qwickly Attendance: Single List, By Course Groups, or By Course Sections[View Screenshot]
  4. Choose the default style for taking attendance:
    • List: displays all students at once alphabetically
    • One By One: displays one student at a time
    • Accessibility Mode: displays all students at once alphabetically, but optimized for keyboard navigation

    • Check In: provides students with the ability to record their own attendance using their device.
  5. Configure how you want to view the attendance information:
    • Show Absences on Take Attendance Screen
      This will show the number of absences each student has accumulated on Take Attendance page.
    • Round Grades to Nearest Whole Number 
      This will round the student's attendance grade to the nearest whole number.
    • Show Unavailable and Disabled Students in Record
      Students that are marked unavailable or disabled in Blackboard will still be displayed on Attendance Record page.
    • Record Order
      Choose whether attendance records will be sorted by oldest or newest records first.

  6. Set up the Blackboard’s grade center column for Attendance by entering the column name and assigning the points. The points can be calculated by either:
    • Total Points
      Set the full points that attendance will be worth.
    • Per Session (unavailable for Course Group and Course Section student grouping)
      Set the points that will be earned for each class session.

  7. Set up the Check In option if you want students to record there own attendance during a class session using their device. Instructors can decide if they want to require students to enter a PIN. Instructors also have the option of entering a number of minutes for the Check In Timer. Note: If a zero is entered for the timer minutes, there will be no timer for students. [View Screenshot]
  8. Set up the Blackboard’s grade center column for Absences by entering the column name and assigning the points. NOTE: Use a negative number for Points Per Absence to subtract points. [View Screenshot]
  9. Choose whether to send an Email to students when they have been marked absent. The default is not to send an automatic email. [View Screenshot]
  10. By default, the following three statuses are turned on: Present, Absent, and Excused. Instructors can choose to turn off any of the statuses by clicking the ON-OFF slider. [View Screenshot]
  11. Click Save Settings.

Take Attendance in Qwickly

There are four available styles or methods to take student attendance. When instructors open Qwickly Attendance, they will be directed to the default style first. However, all other methods will be accessible at any time through the tabs on Take Attendance page.

Full List

  1. Choose whether the session is for Current Time or Custom Time (Past or Future). If you select custom time, you will have the option to set the date and time.
  2. Enter the Session Title.
  3. On the first row, there is an option to assign the same attendance status to all students by clicking on either the Present, Absent, or Excused box.
  4. Instructors can also assign a different status for each student by going through the list.
  5. To add Comments, click on the comment icon on the desired student row. Write your comment inside the textbox.
    By default, comments are only visible to instructor in Attendance Record page. Instructor can make comments available to students by clicking on the desired attendance record box and selecting "Visible to Students".
  6. Once you finish going through the list, click on one of the Submit Attendance buttons that are located at the top and bottom of the list.

One By One

  1. Choose whether the session is for Current Time or Custom Time (Past or Future). If you select custom time, you will have the option to set the date and time.
  2. Enter the Session Title.
  3. For each student, assign the attendance status by clicking on either the PresentAbsent, or Excused box.
  4. If needed, write a Comment inside the textbox for the corresponding student.
    By default, comments are only visible to instructor in Attendance Record page. Instructor can make comments available to students by clicking on the desired attendance record box and selecting "Visible to Students".
  5. To go to other students on the list, click on the left or right arrow.
  6. Once you finish taking attendance for all students, click on the Submit Attendance button.

Accessibility

  1. Choose whether the session is for Current Time or Custom Time (Past or Future). If you select custom time, you will have the option to set the date and time.
  2. Enter the Session Title.
  3. On the first row, there is an option to assign the same attendance status to all students by selecting either PresentAbsent, or Excused from the drop-down list.
  4. Instructors can also assign a different status for each student by going through the student list.
  5. To add Comments, write your comment inside the textbox on the desired student row.

  6. Once you finish going through the list, click on one of the Submit Attendance buttons that are located at the top and bottom of the list.

Check In

  1. Click the Check In tab and Start Check In button to begin a Qwickly check-in attendance session

  2. In the settings panel:
    1. If you entered a time for timer, the check in period will close at the end of the set time period. If a time period isn't entered, the check in period will end when you click the End Check In button. 

    2. If you selected require PIN, a unique 4-digit code will be presented when the check-in session begins.  Students will need to enter this code in order to successfully check in.  If the option is set to No PIN, students will need to simply click the Check In button in order to mark themselves as present during a check-in session​


View or Update Attendance Records in Qwickly

The Attendance Record page displays a table of all the attendance records that have been submitted for the course.

If the course uses By Course Groups or By Course Sections student grouping, there will be tabs above the table so instructors can access a table that lists all students and also the tables for each group/section.

Other features on this page:

  1. Export: Instructors can download a CSV file of the Records or Totals table. The file will include all sessions’ data and all the students that are listed on the current table.
  2. Records or Totals: Instructors can choose to view the submissions for each session or an aggregate of each attendance status (total number of Present, Absent, and Excused).
  3. Reverse: The sessions can be sorted by oldest or newest records first. To reverse the order, instructors can click on the Reverse button.
  4. Page: Instructors can navigate through the pages by clicking on the arrows.
  5. Search: Instructors can search for a specific student record by entering the student’s username.

 

Update Session or Student Attendance Information

Instructors can edit the session information by clicking on the arrow next to the session name. Instructors will have the option to update the Session Title and Date Taken or to delete all the data for a session.

To update the attendance status or comment for a certain student, instructors can click on that student’s attendance record box. By default, comments are only visible to instructor. To make a comment available to students, change the comment's status from Private Note to Visible to Students and then click on the Update button.
